Berkeley apartment move-in day, hour by hour

Everyone does move-in day the same way. The difference is what happened in the two weeks before the truck showed up.

The plan below is the one I hand parents who ask. It assumes an August move-in, one truck, one apartment, and a student on their first lease. If your building runs a concierge slot, half of this is handled and you can skip past the parking section.

Two weeks out: the setup you can't do on the day

Book the truck. Sign the loading dock reservation if your building runs one. Most buildings around Telegraph, College, and Shattuck reserve loading zones or freight elevators 5 to 10 days out. If nobody has told you the elevator hold policy by two weeks out, email leasing and get the answer in writing.

Order the "Temporary No Parking" signs from the City of Berkeley. The form lives on the city website under Construction, not Parking, which trips people up every year. Signs have to be posted 72 hours before your move to be enforceable, so you're really applying about five days ahead. Without them, the City won't tow the neighbor's Civic sitting in your loading zone at 9am.

Schedule PG&E for the same day as move-in. You can start service the same day if you give three business days of notice, but a week is safer. You can schedule the start up to 60 days in advance, so do it the moment you have a signed lease. Same for internet: AT&T fiber, Sonic, and Comcast quote 5 to 14 day install windows in Berkeley, and August rush lengthens them. If you want Wi-Fi live on move-in day, book the install for 3 to 5 days before you arrive.

Confirm the mattress delivery. Most mattress-in-a-box vendors ship UPS or FedEx on a two-day window, not a time slot. If your student can sleep on the floor for a night, no problem. If they can't, order two weeks out and have the box waiting at the building.

The morning: parking permits, curb space, elevators

7:00 AM. Check the No Parking signs are still up. If a neighbor knocked them over overnight, call BPD non-emergency at 510-981-5900 before the truck arrives, not after.

7:30 AM. Pick up the keys. Every building has its own handoff protocol; if yours requires an in-person walkthrough, do it before the truck arrives. You want to walk the unit while it's empty and the light is good.

8:00 AM. Photograph every room. Every wall, every closet, every appliance. Close-ups of anything that already looks damaged. Timestamps matter for the deposit conversation ten months from now. 8:30 AM. Confirm the elevator hold. Confirm the loading zone reservation.

Late morning: the truck arrives

9:00 AM. Truck. Two people minimum: one at the elevator, one at the door. If you don't have three people, hire a mover for two hours; TaskRabbit and Lugg both dispatch in Berkeley same-day.

9:15 to 11:00. Unload. Boxes go straight to the room they're for, not to the living room. Ten minutes of triage now saves an hour of hauling later.

11:00 AM. Return the truck if it's rented by the hour. Don't sit at Home Depot picking drawer liners while the meter runs.

Midday: confirm utilities and building systems are live

12:00 PM. Test the outlets. Flip every switch. Run the microwave, the dishwasher, and the shower at once (that's how you catch a badly wired unit before you sign anything else). If anything is dead, file the maintenance ticket now, in writing, with photos.

12:30 PM. Check the Wi-Fi. If the install was last week, log in from a phone and confirm you're online. If the ONT is unpowered or the router unpaired, that's a same-day fix if you catch it now and a three-day fix if you catch it Tuesday.

1:00 PM. File a change of address with USPS. Update the CalCentral address. Both are free, both take five minutes, both are the thing students forget until their first W-2 goes to the wrong apartment.

Afternoon: IKEA Emeryville and mattress windows

2:00 PM. If IKEA is on the plan, drive to Emeryville. It's 4400 Shellmound Street, about 15 minutes off-peak from Southside or Northside, an hour on a summer Saturday. Same-day home delivery from the Emeryville store is available through TaskRabbit at checkout, and Lugg runs a parallel service on a two-hour window. Three or more heavy items: hire the delivery. Two lamps and a rug: drive them yourself.

3:00 PM. Assemble what has to be assembled today. Beds. Desk chair. One working lamp per room. Everything else can wait until Sunday.

4:00 PM. Mattress delivery if scheduled for today. Confirm the window at 8am, not 4pm. If it slipped, you want to know while there's still time to reroute.

Evening: trash, boxes, quiet hours

6:00 PM. Break down the cardboard you're done with. Berkeley recycling accepts flattened cardboard, but most buildings have a specific bin and a specific day. Ask leasing which day, and which side of the building the recycling gate is on. Stacking cardboard on the wrong side gets it left behind.

7:00 PM. Confirm quiet hours. Most Berkeley buildings enforce a 10pm rule, and the first night is when neighbors clock a new move-in. Drilling, hammering, and 11pm furniture assembly are the quickest way to a bad relationship with the person sharing your ceiling.

9:00 PM. Photograph the whole apartment again. Send it to the family thread. It's the "we made it" milestone. If something breaks by December, you'll also have the "this room looked like this on August 22" photo.

The 48-hour follow-up
